All MTAs, whether for incoming or outgoing material, are negotiated and signed in the Office of Sponsored Programs. In general, the following applies:

  • ALL MTAs – incoming or outgoing – that are between UT Health SA and a non-profit or academic research institution are managed by Office of Sponsored Programs (OSP)
  • All MTAs for materials that are coming into labs here at UT Health SA are required to go through Office of Sponsored Programs (OSP) utilizing the new Enterprise Research Management System (ERMS) system to start the process.
  • The Principal Investigator can utilize the new ERMS system to start the process.

Please Note: Submission of Agreements through ERMS is now required. Failure to submit agreement requests through ERMSA may delay negotiation of your award

All such agreements must be submitted to OSP for processing via the Enterprise Research Management System, ERMS-Agreements.

For industry sponsored research collaborations with UT San Antonio investigators, Confidentiality Agreements (CDA) and Non-Disclosure Agreements (NDA) should be initiated and managed through the Office of Sponsored Programs (OSP). To process your CDA/NDA, please:

  • Submit an agreement request through ERMSA to OSP.  Submission should include the agreement draft, or indicate if UT Health SA needs to draft the initial agreement.
  • Include the name, address, telephone number and email address of your contact.
  • If applicable, note within your submission any concerns you may have about the NDA.

For UT Health SA investigators who need a confidentiality or non-disclosure agreement (CDA/NDA) to receive or disclose confidential information to an external party should submit a request to OTCInfo@uthscsa.edu with the following information. The more information provided, the faster the turn around time will be.

  1. Principle Investigator Name, Title, Department and Email Address
  2. Principle Investigator General Field of Research
  3. Anticipated date of First Disclosure (Month/Date/Year)
  4. OTC Technology to be disclosed (HSC-####)
  5. CDA Type:
    • One-Way (UTHSA is Disclosing Confidential Information
    • Mutual (UTHSA is Disclosing and Receiving Confidential Information)
  6. Effective Date of CDA (Month/Date/Year):
    • Request for 1 year
    • Request for 3 year
  7. Receiving Party is:
    • Company, University, Intern, Consultant, Investor, Other
    • Entity Full Legal Name and Email Address

Vice President of Research (VPR)

The Office of the Vice President for Research provides access to resources and services to support researchers throughout the conduct of research and discovery. Our aim is to foster a research culture that drives innovation, collaboration and recognition of our researchers.

Office of Sponsored Programs (OSP)

The Office of Sponsored Programs (OSP) is responsible for institutional review and signoff of proposals, negotiation, and assessment of award agreements, establishing accurate Project IDs within restricted fund groups, outgoing subaward preparation and monitoring, advising on post award business and financial matters, preparing accurate and complete financial reports, and Project ID closeout. Responsible for enforcing costing and other administrative policies of UT Health SA and its external sponsors.​​​​​​​

Purchasing Department, UT Health SA

The Purchasing Department is charged with the responsibility to acquire all goods and services in compliance with applicable statutes, policies, and procedures and to ensure the academic needs, research, patient care and public service goals are met in a cost-effective and efficient manner.

Conflict of Interest (COI)

Federalstate and UT System regulations require the disclosure of individual financial interests and the management and reporting of significant financial interests that create a conflict of interest related to their UT Health San Antonio duties and responsibilities or research performed at UT Health San Antonio.

What is ERMS-COI?

ERMS-COI is the online system used by Faculty and Exempt Staff to report external (or outside) activities. Each reported activity is referred to as a “disclosure”. ERMS-COI provides a single portal to capture information used to fulfill several administrative and reporting needs such as:

    • Conflicts of Interest
    • Conflicts of Commitment
    • Activities that require prior approval (such as outside employment)
    • Activities that must be reported annually to UT System and the NIH
